View Cleared Deductions in Promotion Details
How to see which deduction invoice lines have been cleared to specific promotions
Overview
The View Cleared Deductions in Promotion Details feature provides sales, finance, and planning teams with complete visibility into which deduction invoice lines have been reconciled and cleared to each specific promotion, creating a bidirectional link between the Promotion Planning and Deduction Reconciliation modules. After deductions are processed by the accounting team and cleared to promotions in the Deduction Reconciliation Module (DRM), this information automatically flows back into the promotion profile, populating the Analytics tab with detailed records of every deduction check, invoice number, dollar amount, and backup file associated with that promotion.
Steps to Find Cleared Deduction Invoice Lines
- Log into Vividly and navigate to the Promotions section using the left-hand navigation menu.
- Click on Planning to open the Promotion Planning module.
- Look for the promotion and click on Details or the promotion name to open its profile.
- The promotion detail page will open, click on Analytics tab.
- Scroll down below to the "All Lines Analytics" section.
- The All Lines Analytics section displays a table with multiple columns showing every deduction invoice line that has been cleared to this promotion.
- Each row represents one invoice line that was cleared to this promotion.
- If you see multiple rows, it means multiple deduction invoice lines from one or more deduction transactions have been cleared to this promotion
- To see the original deduction backup file or the deduction invoice in DRM, click the three-dot menu (⋮) for that row. A dropdown menu will appear with options:
- View Backup: Opens the backup file in a new browser tab (for PDFs).
- Download Backup: Downloads the backup file to your computer (for Excel or other formats).
- View Transaction: Opens the full DRM transaction in a new tab.
- Click on any of these options depending on your needs.
Tips & Best Practices
- Review Analytics monthly: Make it a habit to review the Analytics tab for completed promotions once a month to stay on top of actual spend vs. expected spend.
- Use cleared deduction data for future planning: If actual spend consistently differs from expected spend for a specific customer or promotion type, adjust your future planning assumptions accordingly.
