Create and Manage User Roles and Assigned Customers

How to create users, assign roles + customers, and export a list of users. 

 

Manage Users in Account Settings

Click the Profile Icon Account Settings > Permissions

 


Create a New User Account

To create a new user, contact our team via Live Chat or Email (support@govividly.com).

Include the following information in your request:

  • First Name
  • Last Name
  • Email
  • Role (Permission level - Admin, Manager, Viewer, etc.)
  • Assigned Customers (Optional - Default is "All Customers") 

Add Roles and Permissions

Vividly has two types of roles:

  • Predefined roles:

    • Owner - Full access to everything, plus the ability to change other users' roles. Think of this as a "super admin."

    • Admin - Full access to everything in Vividly. Cannot change other users' roles.

    • Viewer - Can view and export data only. Cannot create or edit anything.

  • Customizable roles: These roles give you full control. Your admin can turn specific abilities on or off — for example, allowing a user to create promotions but not approve them. To assign or update a role:

    • Go to Profile icon > Account Settings > Permissions > Roles tab

    • Go to All Available Roles section

    • Click on the Add New Role textbox and type the name of the new role that you want to create

    • Click on + Add when done

In order to add permissions to a certain role:

  • Go to Profile icon > Account Settings > Permissions > Roles tab

  • Go to Assign Roles to Permissions section

  • Click on the dropdown menu of the permission that you want to enable or disable for a specific role

  • Check the roles that you want to have that permission enabled (Uncheck it, if the opposite)


Assign Roles and Customers to a User

Once your roles and permissions are setup, assign these and customers to users in the Users tab following these steps: 

  • Go to Profile icon > Account Settings > Permissions > Users tab

  • Search for the user you want to assign the role and customers

  • Click on its respective dropdown menus

  • Select roles and customers to assign and unselect them to unassign

  • Click anywhere else and notice that the page will load to save and display the changes you made



Remove and Update User Credentials

If a team member has left your organization or you need to update a user's credentials (name and email), contact Vividly Support to remove their account by opening a live chat or emailing us at support@govividly.com.


Export a List of Active Users and their Roles

You can download a list of all users and their assigned roles directly from Vividly:

    1. Go to Profile icon > Account Settings > Permissions > Users tab.

    2. Look for the download or export option at the top of the Users list (Download User List).

    3. The exported file will show all active users, their roles, and any assigned customers.
