[Permissions](https://knowledge.govividly.com/account-settings?hsLang=en#permissions) June 18, 2026 # Create and Manage User Roles and Assigned Customers ## How to create users, assign roles + customers, and export a list of users.  ### **Create a New User Account** **To create a new user, contact our team via Live Chat or Email (support@govividly.com).** Include the following information in your request: - **First Name** - **Last Name** - **Email** - **Role** (Permission level - Admin, Manager, Viewer, etc.) - **Assigned Customers** (Optional - Default is "All Customers")  If you are chatting with the Vividly AI Assistant, you can type "speak to a rep" to be transferred to a support specialist who can complete your new user request.  --- ### **Add Roles and Permissions** **Click the Profile Icon \> Account Settings \> Permissions** **![](https://knowledge.govividly.com/hs-fs/hubfs/image-png-Mar-17-2026-10-52-57-9050-PM.png?width=670&height=303&name=image-png-Mar-17-2026-10-52-57-9050-PM.png)** Vividly has two types of roles: - **Predefined roles:** - **Owner** - Full access to everything, plus the ability to change other users' roles. Think of this as a "super admin." - **Admin** - Full access to everything in Vividly. Cannot change other users' roles. - **Viewer** - Can view and export data only. Cannot create or edit anything. - **Customizable roles:** These roles give you full control. Your admin can turn specific abilities on or off — for example, allowing a user to create promotions but not approve them. To assign or update a role: - Go to **Profile icon \> Account Settings \> Permissions \> Roles tab** - Go to **All Available Roles** section - Click on the **Add New Role textbox and type the name** of the new role that you want to create - Click on **+ Add** when done ![](https://knowledge.govividly.com/hs-fs/hubfs/image-png-Mar-17-2026-10-34-28-9019-PM.png?width=670&height=226&name=image-png-Mar-17-2026-10-34-28-9019-PM.png) In order to **add permissions to a certain role**: - Go to **Profile icon \> Account Settings \> Permissions \> Roles tab** - Go to **Assign Roles to Permissions** section - Click on the **dropdown menu of the permission** that you want to enable or disable for a specific role - **Check the roles** that you want to have that permission **enabled** (**Uncheck** it, **if the opposite**) ![](https://knowledge.govividly.com/hs-fs/hubfs/image-png-Mar-17-2026-10-37-50-0619-PM.png?width=670&height=207&name=image-png-Mar-17-2026-10-37-50-0619-PM.png) --- ### **Assign Roles and Customers to a User** **![](https://knowledge.govividly.com/hs-fs/hubfs/image-png-Mar-17-2026-10-42-26-0036-PM.png?width=670&height=144&name=image-png-Mar-17-2026-10-42-26-0036-PM.png)** Once your roles and permissions are setup, assign these and customers to users in the Users tab following these steps:  - Go to **Profile icon \> Account Settings \> Permissions \> Users tab** - Search for the user you want to assign the role and customers - Click on its respective dropdown menus - Select roles and customers to assign and unselect them to unassign - Click anywhere else and notice that the page will load to save and display the changes you made ![](https://knowledge.govividly.com/hs-fs/hubfs/image-png-Mar-17-2026-10-42-42-8378-PM.png?width=670&height=99&name=image-png-Mar-17-2026-10-42-42-8378-PM.png) --- ### **Remove and Update User Credentials** If a team member has left your organization or you need to update a user's credentials (name and email), contact Vividly Support to remove their account by opening a live chat or emailing us at support@govividly.com. --- ### **Export a List of Active Users and their Roles** You can download a list of all users and their assigned roles directly from Vividly: - 1. Go to **Profile icon \> Account Settings \> Permissions \> Users tab.** 2. Look for the download or export option at the top of the Users list (**Download User List**). 3.
