Automatically Close Promotions and Lines

The auto-close feature automatically closes promotion lines and promotions after a specified number of days past their end date. This helps keep your promotion data organized by closing completed promotions without manual work

Where to Configure

Navigate to Account Settings > Miscellaneous to configure this feature.


Settings

Days After End Date Reached

Enter the number of days to wait after a promotion line's end date before automatically closing it. For example:

  • 5 days: Lines will close 5 days after their end date

  • 30 days: Lines will close 30 days after their end date

  • Empty: Auto-close is disabled (no automatic closing)

Do Not Auto-Close Promotions/Lines

Check this box to completely disable auto-closing for your company. When checked, the "Days after end date reached" field is disabled.


How It Works

Automatic Process

Once configured, the system automatically:

  1. Checks promotion lines daily

  2. Identifies lines from promotions with Completed or Cancelled status

  3. Closes lines where the end date has passed by your specified number of days

  4. Closes promotions when all their lines have been closed

You don't need to take any action — the system handles everything automatically.

Important Notes

  • Only affects Completed or Cancelled promotions: Promotions in Draft, Approved, or Running status are never auto-closed

  • Works on promotion lines first: Individual lines are closed first, then the promotion is closed when all lines are closed

  • Runs automatically: The system checks and closes promotions on a scheduled basis (typically daily)

  • Manual closure still works: You can still manually close lines and promotions at any time


Example Scenario

You set auto-close to 7 days:

  • A promotion line ends on January 1st

  • The promotion status is Completed

  • On January 8th (7 days later), the line is automatically closed

  • If all lines in that promotion are closed, the promotion itself is also closed


Best Practices

  • Set a reasonable number of days (e.g., 120, 180, or 365 days) to allow time for all deductions to be received and applied

  • Use the "Do not auto-close" checkbox if you prefer to manage closures manually

  • Remember that only Completed or Cancelled promotions are affected — other statuses require manual closure
